Client: "Can you automate our meeting notes so we can turn them into action items and usable client data?"
Me: "Bet."
Here's how I built this epic Make automation (and why it's worth huge $$$ if you're business owner):
THE GOAL
⎯
My client wanted to take their meeting transcripts from their transcription software (Tactiq) and turn them into:
→ Robust meeting summaries
→ Action items for their team
→ Actual client deliverables
Using Make and Notion, I was able to pull this off.
THE SETUP
⎯
First, I needed to build a Google Drive folder to capture their transcripts.
Tactiq makes this easy because it'll send transcripts there automatically.
Next, I built them a Meetings database in Notion.
This will capture their meeting notes and make it easy to associate those notes with their CRM database, their project management database, etc.
(more on this in a future post because it's really helpful)
THE EXTRACTION
⎯
This is where things get juicy.
I pass the transcript through several rounds of AI modules with robust prompts.
These prompts train the AI what to look for and how to format the responses.
We're not just talking basic action items here.
It's pulling out full quotes, important insights for the team to make note of, and "golden nuggets" of info.
THE TRANSFORMATION
⎯
This is where the money is made.
Not only do we now have a detailed summary...
But we actually have everything we need to actually BUILD client deliverables.
In this case, my client wanted to use their client's own words to build out "core blocks" of information that can then be used to build custom AI prompts for the client.
This is now fully automated.
Which not only saves my client time (and makes more $$$ by helping them increase their client load without extra work)...
It makes them look REALLY good.
Because the time-to-value for their client just went from 1 week to literally 1 hour.
THE REAL VALUE
⎯
Before, they had to have a team of VA's comb over each transcript manually to extract the client's details and then build out the blocks of info and send them to the client.
Now, that whole process is automated.
We're going to add 1 step of human review via a custom Slack message (triggered by this same automation) and then it'll send to the client immediately.
THE TRUTH?
⎯
If you're a business owner and you're not thinking about using automations and AI to streamline your operations...
You're leaving a LOT of money on the table.
This one automation just slashed their time-spent-per-client in half (or more).
And it's only ONE automation.
I'm building out 10+ more for them right now.
By the time I'm done...
Their team is going to be running on rocket fuel.
IT'S YOUR TURN.

Does anyone actually work at @gumroad support?
I’ve been locked out of my account for months and keep getting “escalated” to a human by their AI support email…
But I’ve never heard back.
Seems like a security issue since people are still downloading my products and I have no way of changing anything or offering customer support.
What a crappy customer service experience.
Would be a far bigger issue if my products weren’t free.
I swear nothing will make you more productive for the whole week than deep cleaning your house on a Saturday.
You don't need a $100k/year business to be free.
You don't need to work 80+ hours to make money.
You don't need 10k followers to build authority.
You need clearly defined goals and a system.
That's it.
Build a life that works for YOU and stop listening to everyone else.
I swear you’ll never be more productive than when you’re about to have a kid and you have like 10 weeks to get everything done.
I didn’t need $10k months to be happy.
I needed stable income to leave my job.
I don’t need $50k months to be happy.
I need clients I actually like working with.
I don’t need 100k followers to be happy.
I need a business that supports my life.
Adjust your priorities.
I’ve launched banger templates for <$100 only to get one or two sales.
So I took them down.
Ended up selling the same templates as productized services for $4,000+ multiple times over.
What does that tell you?
The thing I hear over and over again on client calls:
“We need it to be REALLY simple to use.”
“No, like REALLY.”
“Like simpler than that.”
Your ideal client doesn’t care if the tool took 60 hours to build and used all the bells and whistles.
They just want it to be easy.
I don’t think you guys are ready for how much @NotionHQ is about to absolutely COOK this year 🍳
Automated Notion webhooks is about to revolutionize the game.
The amount of workarounds that this eliminates is crazy!
Well @NotionHQ blasted us with a ton of updates last week.
And I have a love-hate thing with all of them.
Some updates are SUPER cool to see!
But others...are only halfway there imo.
Here's my overview:
#1 - Forms (YAY!)
This one is huge! Not only will this make it way easier for dev teams to work in Notion, it'll make it easier for those of us who use Notion to manage clients.
Here's why:
We can now skirt around some of the permissions issues that we traditionally have with clients by giving them a request form.
This way, you can run more of a DesignJoy style system where clients can make requests that populate into your databases.
It's not a perfect solution, but it's one step closer!
#2 - Layouts (Meh...)
Look, I'm super excited to see that we have more flexibility with Notion page layouts.
But in my humble opinion...
This update is only 50% of what we needed.
What we've really needed for a LONG time is the ability to set page layouts and shown properties based on the PAGE TEMPLATE.
I want to customize certain page templates to show certain data...
Without that aspect here, this is only a nice-to-have update imo.
#3 - Automations (Extra Meh...)
This is a controversial take, I know.
But in my opinion Notion's automation game is LAGGING behind its direct competitors like ClickUp.
The main reason?
TRIGGERS.
Notion's triggers are so rudimentary that they're almost useless for anything other than very basic applications.
The fact that they rolled out these changes WITHOUT updating triggers is asinine.
But hey, I'm an automation junkie so what can I say...
#4 - Marketplace (YAY!)
I'm actually VERY hyped about this one.
Not only does this make discoverability easier for us creators, but it also gives us one mega feature we've been waiting on for years:
Access restriction!
As a template creator, this has been the bane of my existence (and yours too I'm sure).
Now, we can rest assured that if someone gets a refund (or just buys a template) they won't be able to copy or distribute our work around the internet freely.
This is HUGE and I envision this to be a big boost to the template economy very soon.
Closing Thoughts...
While I'm glad to see the rollout of so many new features at once (and I'm sure we'll see many improvements to these soon) I think they could've been a bit stronger.
And maybe I'm being harsh...
But I just want to see Notion be the best it can be!
What do you think of the newest updates?
Automate repetitive tasks → Free up 15% of your time.
Set up notification for tasks → Nothing falls through the cracks
Automate your workflow system → Increase output by 100%
Automation is rocket fuel.
Neglect it, you fall behind.
Embrace it, you scale overnight.

So stoked to have another (big) rebrand item off the checklist. Excited to have a place to share longer blogs and better case studies as well.
