This is brilliant. 👏 We've actually just used your framework to audit and optimise our own AI agent workforce, with the fixes now live.
Our audit found 50% of usage was chats, 26% bot-to-bot messaging and 24% routines. One lead-sync alone was responsible for 672 runs in a week, most finding nothing new. 😳
We've now redesigned our orchestration:
→ Reduced routine frequency and added change checks.
→ Shifted agent handoffs from conversations to shared Notion task cards.
→ Made midday and afternoon huddles exception-based.
→ Separated background routines from our conversational agents.
→ Consolidated overlapping routines and kept human approval gates.
Projected routine runs: ~3,180 down to ~850 per month. We're measuring actual savings now.
Where we're a little different is that we've built a multi-venture AI workforce, rather than a fixed six-bot team. We have Wayfinder as Chief of Staff, specialist agents across our ventures, and a shared Agent HQ for evidence, decisions and organisational memory.
We're approaching this through an organisation-design lens: clear accountabilities, human agency, measurable outcomes and agents that collaborate only when there's value in doing so.
The biggest lesson? Don't just build agents. Design the organisation they work in. 🐙💖
