Our reengagement process for @Darien_Advisors used to be a multi week effort to review our client list, prior year fees, generate proposals, review, then approve, and sync with Hubspot for blasting.
Built a script in Claude Code leveraging @ignitionapp 's MCP and drafted 500 proposals in a matter of minutes.
This doesn't even reflect the data integrity & clean-up we did using Karbon's API to get time entries to flag heavy works, out of scope items, and price change orders.

My good friend @brettstone_ recommended @ignitionapp to me a few weeks ago, and yesterday I bought a yearly subscription to their Pro plan. I usually don’t buy annual plans for cash flow reasons, but they gave me a good deal, so I did.
This software is awesome. Onboarding new clients is extremely easy, and it’s paid for itself in a day. Granted, I already had a new client ready to go. Ignition’s ability to set one time billing, monthly billing (hosting & maintenance), yearly billing (domains) AND signatures & terms all in one go is AWESOME. Client can select add-ons for optional items, too. Payment method on file.

We use @ignitionapp , which has been a huge win! We send the proposal to the clients with ACH/Bank, free of fees. If they request to use CC, we turn that option on and pass the fee through to them. Very few ask for CC. Seems to work well.

This is why I moved to using @ignitionapp, instead of manually sending invoices and waiting for them to manually process payment - I can get payment authority upfront and so when I send invoice the payment occurs automatically.
The scenario you’ve explained would happen to me all the time when I was doing manual invoicing. But with the billing software I use now, I basically eliminate the need for manual invoice chasing because we have their payment authority built into the system.
For our monthly retainers similar to what you’ve explained they’re all on this system. We charge at start of the month and if there does happen to be any issue (which would only be: Card expired or insufficient funds) then we just pause work until it’s resolved

Last year, I made a crazy change to how we billed personal tax returns/tax advisory.
I thought it was going to cause clients to get upset or potentially leave because it isn't common for the accounting industry... Counter to the industry, even 😉.
We collected 100% of the price for services upfront upon signing the engagement.
Tax return prep, year round access, tax planning meetings, etc, were all billed and collected before we did anything.
One person got upset and guess what? They still came back this year.
Just because you run an accounting firm doesn't mean you have to run it like one.
